STEP-1 : Organization Setup Guide

This document provides comprehensive guidance for setting up and managing your organisation on the VEGA AI platform. Following these instructions will help you configure your organisation's structure, manage team members, and establish proper access controls.

Basic Organization Setup

Company Information

  • Company Name: Enter your organisation's official name

  • Primary Email: Set up the primary contact email for your organisation

  • Primary Phone: Add the main contact number

  • Business Address: Include your complete business address details

    • Address Line 1

    • Address Line 2 (optional)

    • City

    • State

    • ZIP Code

    • Country

Email Settings

Configure three distinct email contacts for different purposes:

  1. Invoice Email Address: Receives all billing-related communications

  2. Legal Contact: Designated for legal notifications and updates

  3. Technical Contact: Receives technical updates and system notifications

Team Management

Adding Team Members

  1. Click the "+ Add Team Member" button in the top right corner

  2. Fill in the required information:

    • First Name

    • Last Name

    • Email Address

  3. Select appropriate role (see Role Permissions section)

  4. Click "Add Member" to confirm

Role Permissions

The VEGA AI platform offers four distinct roles with varying levels of access:

Admin (Administrator)

  • Full account access

  • Can manage users and questions

  • Access to system settings and configurations

  • Full Control over billing

  • Ability to edit organisation details

  • Permission to delete organisation and manage team

Manager

  • View organisation dashboard

  • Create and manage batches

  • Add teachers and students to batches

  • Create and assign tests

  • Limited administrative access

Teacher

  • Access to view performance analytics

  • Create, edit, and assign tests

  • Manage assigned students and batches

  • No administrative access

Operator

  • Access to content ingestion tools

  • Add and edit questions

  • Limited to content management functions

Managing Existing Team Members

For each team member, you can:

  • View their creation date and last login

  • Edit their information using the Edit button

  • Remove them from the organisation using the Remove button

  • Monitor their role and access level

STEP-2 : Student Portal Setup Guide

Introduction

The VEGA AI Student Portal allows you to create a white-labelled, branded learning environment for your students. This guide walks you through setting up and customising your student portal to match your institution's brand and requirements.

Custom Portal Configuration

Domain Setup

  1. Get a domain masked platform on your domain.

  2. You can choose any prefix of your choice to give the right brand messaging.

  3. For e.g.: prepsmart.your-domain.com

  4. Domain setup also has options based on the platform plan you've chosen. You get the option for complete domain masking only in the top enterprise plan where completely their own.

Meta Information

  1. Meta Title

    • The Meta Title is the headline shown in search results and browser tabs.

    • It should be concise, relevant, and include keywords to improve SEO and attract visitors.

    • Customise it to reflect your brand's identity.

    • Example: "AI-Powered Digital SAT Practice App"

  2. Meta Description

    • The Meta Description is a brief summary shown below the Meta Title in search results.

    • It should be clear, concise, and keyword-rich to improve click-through rates.

    • Tailor it to align with your brand and attract more visitors.

    • Example: "Smart learning Platform for Digital SAT, ACT and more."

Legal Documentation

  1. Privacy Policy

    • If your organization has a ‘Privacy Policy’, please provide the complete URL.

    • Users while creating their account will agree to your ‘Privacy Policy’ too.

    • In case you don’t have a ‘Privacy Policy’, you can leave this field blank.

    • You can update or change it later at anytime.

    • Ensure URL is valid and accessible

  2. Terms and Conditions

    • If your organization has ‘Terms and Conditions’, please provide the complete URL.

    • Users while creating their account will agree to your ‘Terms and Conditions’ too.

    • In case you don’t have ‘Terms and Conditions’, you can leave this field blank.

    • You can update or change it later at any time.

Branding Elements

Logo Configuration

  1. Main Logo

    • Upload your organization's logo

    • Recommended specifications:

      • Format: PNG or SVG (preferred)

      • Resolution: Minimum 200 x 50 pixels

      • Maximum file size: 1MB

  2. Favicon

    • A favicon is a small icon that represents a website or web page.

    • It's short for "favorite icon". Favicons are used to help users identify and distinguish web pages.

    • Upload the favicon for your platform.

    • Requirements:

      • Size: 32 x 32 pixels

      • Maximum file size: 1MB

      • Should be clearly visible at small sizes

  1. Open Graph Image

    • The Open Graph Image is a visual preview displayed when your website is shared on social media.

    • It enhances your posts by providing an engaging, branded image that attracts clicks and shares.

    • Customize it to reflect your brand.

Visual Customization

  1. Platform Background Colour

    • This feature allows you to change the platform's background colour to match your branding requirements.

    • Enhance your brand identity and create a cohesive user experience by customising the background colour to align with your company's aesthetic.

    • Ensure good contrast with text

    • Consider accessibility guidelines

  2. Button Color

    • This feature allows you to customise the colour of all buttons on the VEGA AI platform.

    • Tailor the button colours to match your brand’s look and feel, enhancing visual consistency and improving user experience.

    • Should align with brand colours

    • Ensure readable text contrast

    • Test on different screen sizes

  • Add/remove questions to ask during onboarding as needed

  • If you need the user's phone number or any other details from the available options, you can enable or disable them in the settings.

In lower plans you've to use subdomain where you can just add your brand ahead of domain like bestprep.myvega.ai.
