What is Operations?

Operations is your central command center for managing all aspects of your educational courses. Think of it as the "mission control" for your learning platform where you can:

  • 👥 Manage Users: Add, view, and organize all your users

  • 📊 Track Performance: Monitor how well users and batches are performing

  • 📝 Assign Content: Give users tests, resources, and learning materials

  • 📅 Schedule Classes: Plan and manage live sessions and meetings

  • 🔔 Send Notifications: Keep users informed and engaged

  • 📈 Analyze Data: Get insights into learning progress and outcomes

Why is it important? The Operations brings everything together in one place, making it easy to manage your entire educational program without jumping between different tools.


Getting Started - Course Selection

🎯 The Most Important First Step

Before you can do anything else, you MUST select a course. This is like choosing which classroom you want to work in.

Why Course Selection Matters

Every single feature in the Operations depends on knowing which course you're working with. It's like having a key that unlocks all the tools:

  • User data is organized by course

  • Test assignments are course-specific

  • Analytics show course performance

  • Scheduling & Classes is tied to course batches

What Happens If No Course is Selected?

For first-time visitors, when you first enter the Operations, no course will be selected by default. You'll be greeted with a screen as shown below.

How to Select a Course

Step 1: Look for the Course Selector

You'll see a dropdown box labeled "Select Course" at the center of the page.

Step 2: Choose Your Course

  1. Click on the dropdown arrow

  2. You'll see a list of all available courses

  3. Each course shows:

    • Course Name (in bold)

    • Created Date (when the course was made)

  4. Click on the course you want to work with

Note: This selection can be changed anytime during the session as mentioned below.


Understanding the Interface

Selected Course Display

Once you select a course, you'll see:

  • "Selected Course:" label

  • Course name in a red-bordered box

  • Just to the very right of it the same course selector dropdown which lets you change course in mid sessions so you manage a lot of operations together


Available Tabs Overview

Note: The description below is just a very brief overview of the operations and in detailed information is available for all features in further sections.

1. 👥 Users Tab

What it does: Manage all your users in one place

Key Features:

  • View complete user list with details

  • See when users signed up and last logged in

  • Check which batches users belong to

  • View user subscription plans

  • Export user data

  • Add new users

  • Grant learning journeys and plans

  • View individual user analytics

  • See what content is assigned to each user

When to use: Daily user management, checking attendance, managing subscriptions

2. 📝 Assign Tab

What it does: Give users tests and learning materials

Key Features:

  • All Tests: Assign any available test

  • Structured Tests: Assign organized, curriculum-based tests

  • Practice Tests: Assign practice materials

  • Resources: Assign learning materials and documents

When to use: When you want to give users new content to work on

3. 📊 Insights Tab (Analytics)

What it does: See how well everything is performing

Key Features:

  • Test-Wise Analytics: See how each test is performing

  • User Analytics: Track individual user progress

  • Batch Analytics: Monitor group performance

When to use: Weekly reviews, identifying struggling users, measuring success

4. 👥 Batches Tab

What it does: Organize users into groups

Key Features:

  • Create and manage user groups

  • Assign users to batches

  • View batch performance

  • Schedule batch-specific activities

When to use: Organizing users by level, class, or any other grouping

5. 🔔 Notifications Tab

What it does: Send in app notofications to users

Key Features:

  • Send announcements

  • Notify about assignments

  • Remind about upcoming classes

  • Send custom messages

When to use: Important announcements, reminders, updates

6. 📹 Schedule Zoom Tab

What it does: Plan and manage live video sessions via Zoom

Key Features:

  • Create Zoom meetings

  • Schedule recurring sessions

  • Invite specific users or batches

  • Manage meeting settings

  • View meeting history

When to use: Live classes, office hours, group discussions

7. 📅 Scheduled Classes Tab

What it does: View and manage all your scheduled sessions

Key Features:

  • See all upcoming classes

  • Filter by time periods

  • Search for specific sessions

  • View class details

  • Refresh meeting data

When to use: Daily planning, checking your schedule

8. 📅 Calendar Tab

What it does: Visual calendar view of all activities

Key Features:

  • Monthly calendar view

  • See all scheduled activities

  • Color-coded by type

Troubleshooting

"I can't see any tabs"

Problem: All tabs are grayed out Solution: You need to select a course first. Look for the "Selected Course" dropdown at the top.

"I can't find my course"

Problem: Your course doesn't appear in the dropdown Solution:

  • Check if the course is properly deployed

  • Make sure you have access to the course

  • Contact your administrator

"The page looks different than expected"

Problem: You're seeing a welcome screen with a book emoji Solution: This is normal when no course is selected. Choose a course from the dropdown to access all features.

"I can't access certain tabs"

Problem: Some tabs are missing or disabled Solution:

  • Check your user role (Teacher vs Admin)

  • Some features may not be available for certain courses

  • Contact your administrator for access
