What is a “Journey”?

A Journey is a curated bundle of learning and testing resources mapped to a student's learning plan. Journeys in VEGA AI help you deliver a structured learning path to your students.

It ensures a structured experience by combining:

  • Instructional content (Lesson plans, Worksheets)

  • Practice materials (Quizzes)

  • Evaluative tools (Structured Tests)


Accessing the Journey Builder

  1. Go to the your course dashboard.

  2. Navigate to the “Journeys” tab.

  3. It will show the already created journeys whether it is for Paid or Free.


Creating a Journey

Before you can assign a journey to your students, you need to create one. Think of a journey as a custom course pack tailored to your batch, program, or individual learner. It can include:

  • Learning resources (e.g., lesson plans, worksheets)

  • Practice tests

  • Structured/mock tests


Click "Create Journey"

This opens a form titled “Create Journey”. Fill in the following fields:

  • Journey Name (e.g., Starter Plan Journey, New Batch 2025)

  • Journey Description (brief purpose of the journey)

Then select a Journey Type:

PAID

Unlimited resources, practice, tests, and AI chats.

FREE

Up to 5 resources, 2 practice tests, 1 structured test, and 10 AI chats — great for lead generation.


3. Add Learning Resources

Click Assign Resources and choose from your uploaded library. You can include:

  • Reading Material

  • Worksheet

  • Lesson Plan

All selected resources appear under “Assigned Resources” for review.

Use the “+” button next to each resource to add it to your journey.

✅ You can add multiple types of resources to cater to different learning needs.


4. Add Practice Tests and Structured Tests

  • Click Assign Practice Tests and Assign Structured Tests.

  • These could be mock exams or topic-specific assessments.

When finished, you’ll see a review page like this:

It shows:

  • What’s included (resources, quizzes, assignments, tests)

  • That it’s a PAID journey

🔴 Important: Once access is granted to a user, it cannot be revoked. Choose carefully!


5. Click “Create” to Save

Your Journey is now created and ready to be assigned to batches or individual students.


Assigning a Journey to Students or Batches

Once you’ve created a journey, the next step is to assign it to your students or a batch. This allows them to immediately access the materials, tests, and resources you’ve bundled together.


Where to Assign From?

You can assign journeys from two main areas:

  1. Courses > Journeys tab – to assign from a specific journey

  2. Operations > Users tab – to assign based on student names or email directly


Method 1: Assign from the Course Journey Page

Step-by-Step

1. Click “Grant to Student” on the desired Journey card

This opens the Grant Journey popup.


2. Choose Users or Batches

  • You can search users by name or email, or

  • Select an entire batch (ex: 1-on-1 or group batches)

🔴 IMPORTANT NOTE:

  • A red alert will appear if free plan slots are exceeded.

  • So if users you chose are on free plan and you are assigning a paid journey to them, It will automatically convert them free users into paid users.

  • It will also show how many users will be upgraded to a paid account.

  • Once granted, access cannot be revoked.


3. Choose the Plan

You’ll be asked to confirm the plan type if paid seats are being used:

  • PRO

  • PRO MAX

Make your choice and click Done.


Method 2: Assign from Operations > Users

If you prefer managing individual students:

  1. Go to Operations > Users tab

  2. Click Assign next to any user

This opens a dialog to select a journey from the list.

✅ You’ll also see the user’s current plan (Free/Pro/etc.), email, and existing assigned journeys.

Click Grant to assign.


Once assigned:

  • The student immediately gains access to all included items

  • If the user is on a Free Plan and exceeds limits, they will be automatically converted to a Paid Plan


Managing Journeys – Best Practices & Notes

After creating and assigning a journey, it’s essential to understand how to manage expectations and ensure smooth delivery. While the system automates most of the work, there are a few important things you, as an educator, should be aware of.


Critical Rules You Must Know

1. Access Cannot Be Revoked

🔴 Once a journey is assigned to a user, you cannot undo or remove it. This means you should double-check the user list before granting access.

Use the "View Users" button to review who has been selected and how many free seats are being used.


2. Assigning a Journey = Full Access

Once assigned, students will get immediate access to:

  • All resources (e.g., reading material, lesson plans, worksheets)

  • Practice tests

  • Structured/mock tests

  • AI-powered tools (as per plan limit)

No further action is needed. The journey becomes visible in the student’s dashboard.

Choose the Free plan if you’re running a trial, demo, or lead conversion campaign. Use the Paid plan for your enrolled students to unlock full features.
